Gym Billing Guide 2026: 5% GST, Invoices & Fee Reminders

GST on gyms is now 5% without ITC. Learn what a valid gym invoice needs, how to track UPI and cash dues, and WhatsApp fee reminders members actually pay.

It is the 5th of the month. Your front desk has eleven UPI screenshots in WhatsApp, a register with three pages of "₹500 baaki", two members who swear they paid in cash, and one regular who has been training for nine days on an expired plan. Nobody did anything wrong. The system did.

Fee collection is where most Indian gyms quietly lose money, and in 2026 it got a little more complicated: GST on gym memberships dropped from 18% to 5%, but without input tax credit. Many gyms are still printing the old rate on their bills.

This guide is the practical playbook. It covers what the GST change means for your pricing, exactly what a valid gym invoice must show, where fees leak, a reminder schedule with copy-paste WhatsApp messages, and how to automate the whole loop. If you already want to see automated billing running, book a free demo.

The short version

  • Gym and fitness services are taxed at 5% GST without ITC since 22 September 2025 (earlier 18% with ITC).
  • GST applies only if your gym is GST-registered, which is mandatory above ₹20 lakh turnover (₹10 lakh in special category states).
  • Every payment needs a numbered invoice or receipt, recorded against the member with its payment mode.
  • Most leakage comes from late renewals, untracked partial payments and no reminders, not from members refusing to pay.
  • A fixed 4-step WhatsApp reminder schedule fixes most of it.

GST on gym membership in 2026: what changed

From 22 September 2025, "physical well-being" services, which include gyms, health clubs, fitness centres and yoga studios, moved to 5% GST without input tax credit. Before that they were taxed at 18% with ITC. The CBIC has clarified that providers do not get the option to stay on 18% with ITC for these services.

Three things follow for gym owners:

  1. Your members pay less tax. If your fees are GST-exclusive, a ₹1,500 monthly plan now costs the member ₹1,575 instead of ₹1,770.
  2. You lose input tax credit. The GST you pay on new equipment, rent, renovation or software can no longer be set off against the GST you collect. If you paid ₹50,000 in GST on new racks and treadmills, that ₹50,000 is now a cost, not a credit.
  3. Your pricing needs a decision. Either pass the full cut to members, or keep the member price the same and absorb part of the lost ITC.

Inclusive vs exclusive pricing: a quick example

PlanPricing styleBase feeGST at 5%Member pays
Monthly ₹1,500GST-exclusive₹1,500.00₹75.00₹1,575.00
Monthly ₹1,500GST-inclusive₹1,428.57₹71.43₹1,500.00
Annual ₹12,000GST-exclusive₹12,000.00₹600.00₹12,600.00
Annual ₹12,000GST-inclusive₹11,428.57₹571.43₹12,000.00

For an inclusive price, the base is the price divided by 1.05. Round numbers on your price board are easier for members, so many gyms quote GST-inclusive fees and let the invoice show the split. Try your own plans in our free membership fee and revenue calculator, which now defaults to 5% GST.

Does your gym need to charge GST at all?

  • Turnover above ₹20 lakh a year (₹10 lakh in special category states): GST registration is mandatory, and you must charge GST on memberships.
  • Below the threshold and not registered: do not charge GST and do not print a GSTIN. Issue a simple payment receipt for every fee instead.
  • Registered voluntarily: the same 5% rules apply, so check with your CA whether registration still makes sense now that ITC is gone.

Tax rules and codes change, and the right SAC code and treatment depend on your exact setup. Confirm your registration, rate and invoice format with a chartered accountant before you file.

What a valid gym invoice must include

Under Rule 46 of the CGST Rules, a GST-registered gym's tax invoice needs:

  • The gym's name, address and GSTIN
  • A unique, consecutive invoice number of up to 16 characters, unique within the financial year (for example OG/26-27/0001)
  • The date of issue
  • The member's name and address, which are mandatory only if the bill is ₹50,000 or more, or if the member asks for them
  • The SAC code and a description of the service ("Gym membership, Monthly Plan, 1 Nov to 30 Nov")
  • The taxable value after any discount
  • The GST rate and amount, split into CGST + SGST (or IGST for an inter-state supply; for a gym's own in-person memberships, ask your CA which applies)
  • A signature, which is not required on an electronic invoice

Two practical rules save most of the headaches:

  1. Never reuse or skip invoice numbers. Gaps and duplicates are the first thing a reviewer notices. Software numbering removes the problem entirely.
  2. One payment, one record. A partial payment of ₹800 against a ₹1,500 plan should produce its own receipt and leave a visible balance of ₹700, not a pencil note.

Where gym fees actually leak

Most gyms do not have a "non-paying members" problem. They have a leakage problem: small, invisible losses that add up every month.

  • Late renewals. A member whose plan ended on the 1st keeps training until someone notices on the 9th. That is eight days of free training, every month, for a slice of your members.
  • Untracked partial payments. "₹1,000 now, ₹500 next week" lives in someone's memory. Next week never gets recorded.
  • Unmatched UPI payments. A screenshot in WhatsApp is not a ledger. Payments without the member's name or plan are hard to match a month later.
  • Silent expiries. Without a reminder, a busy member simply forgets, then feels awkward about coming back.
  • Desk discounts. Undocumented "special rates" make it impossible to know your real average fee.

What leakage costs: an illustrative example

Take a gym with 150 members paying an average of ₹1,200 a month:

LeakAssumptionMonthly cost
Late renewals15 members renew 7 days late₹4,200
Silent churn3 members never renew for lack of a reminder₹3,600
Lost partial balances4 balances of ₹500 never collected₹2,000
Total₹9,800 a month, about ₹1.18 lakh a year

Your numbers will differ, but the pattern rarely does: the money is already earned, it just is not being collected. Our guide on using CRM workflows to lift renewals covers the retention side in more depth.

A fee reminder schedule that gets paid

The goal is to make paying on time the default, without the front desk chasing anyone. Four messages, always on the same days:

WhenPurposeTone
7 days before expiryHeads-up and plan optionsFriendly
3 days before expiryReminder with amount and how to payHelpful
On the due dateLast day, renew to keep accessClear
3 days after expiryFinal follow-up, balance dueFirm, polite

Copy-paste WhatsApp templates

Replace the words in curly brackets and save these as quick replies.

7 days before (English)

Hi {Name}, a quick heads-up from {Gym Name}: your {Plan} ends on {Date}. Renew before then to keep your streak going. Reply here if you'd like to switch plans.

7 days before (Hinglish)

Hi {Name}! {Gym Name} se reminder: aapka {Plan} {Date} ko khatam ho raha hai. Time pe renew karke apni training continue rakhiye. Plan change karna ho toh yahin reply karein.

3 days before

Hi {Name}, your {Plan} renewal of ₹{Amount} is due on {Date}. You can pay by UPI to {UPI ID} or at the front desk. We'll send your invoice right after.

On the due date

Hi {Name}, your membership at {Gym Name} expires today. Renew now to continue without a break. Amount: ₹{Amount}.

3 days after (balance due)

Hi {Name}, we noticed your {Plan} expired on {Date} and ₹{Amount} is pending. Pay when convenient and we'll reactivate your access straight away. Thanks!

Three rules make these work: always state the amount, the date and how to pay; send them consistently, not only to people you suspect; and send a payment confirmation the moment money arrives, so the member never wonders whether it was recorded.

The 5-minute daily billing close

Whether you use software or not, close your billing every evening:

  1. Match today's payments. Every UPI, cash and bank transfer is recorded against a member and plan.
  2. Check partial payments. Every balance is visible and has a follow-up date.
  3. Review tomorrow's expiries. Send the due-date reminders.
  4. Scan the pending list. Anyone more than 3 days overdue gets the final follow-up.
  5. Note today's collection by mode. Cash in the drawer should match cash in the record.

It takes five minutes, and it is the single habit that separates gyms that "think" they are doing fine from gyms that know.

How to automate gym billing end to end

Doing all of this by hand works at 40 members. At 150 it starts to slip, and at 300 it breaks. This is what integrated billing in gym software should handle for you, and how it works in Organised Gym:

  • Payments recorded by mode. Cash, UPI, bank transfer and card collections are recorded against each member, with daily and monthly views of what came in and what is still pending.
  • Partial payments with a running balance. The remaining amount stays on the member's profile until it is cleared.
  • An invoice for every payment. Each payment creates a numbered membership invoice you can open as a PDF, download or share.
  • Member payment requests. Members can submit a payment from their app, and you approve it before the balance updates.
  • Automatic WhatsApp messages. Members get expiry notices with any outstanding amount, and a payment confirmation with the amount received, balance due, validity date and a link to download their invoice.
  • Renew from the member app. Members see when their plan expires and can renew without asking at the desk.

Every morning, owners also get a daily gym report on WhatsApp: yesterday's collection split by cash, UPI, bank, card and other, members present, new joins, expenses and today's expiring memberships. That is your 5-minute billing close, already done.
